Accurately measure each rack's dimensions (length, width, height) and weight. Note any irregular shapes, and consider weight distribution for optimal balance and cost-effective shipping. Accurate measurements are crucial for cost estimation. Photograph each rack for reference. Total weight and volume are essential for determining shipment type and cost.
The choice depends on rack size and weight:
Suitable for smaller, lighter racks fitting within standard 20' or 40' containers (or high cube variants offering increased height). Maximise cube utilisation to reduce costs. Examples include racks under 2.4m x 1.2m x 2m, with a total shipment weight under 20,000kg.
For racks exceeding standard container dimensions or weight limits. Requires specialised handling, securing, and potentially permits. Examples include racks exceeding 2.4m x 1.2m x 2m or weighing over 20,000kg. Expect higher costs and longer lead times.
For very large or unusually shaped racks. Individual units secured directly onto a vessel. This is the most expensive and least efficient option. Examples include exceptionally large or oddly shaped racks that cannot be containerised.
Select FCL, OOG, or Breakbulk based on your assessment. Shipping International can advise on the most suitable method.
Use appropriate materials (crates, pallets, protective wrapping) to prevent damage. OOG and Breakbulk require robust securing. Use certified packaging for fragile items. Examples include plywood crates for added protection, bubble wrap for individual components, and secure strapping for pallets.
Prepare necessary documents including: Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin (if applicable), and any required permits or certificates. Shipping International can assist with this process.
Comply with UK import/export regulations. Shipping International handles customs brokerage. Determine the appropriate UK customs codes for your exhibition racks.
Protect your investment with adequate cargo insurance (e.g., All Risks, Institute Cargo Clauses).
Use online tracking tools provided by Shipping International. Provide accurate delivery addresses and contact information.
Understanding Incoterms is crucial. DDP (Delivered Duty Paid) means the seller covers all costs and risks until delivery. DAP (Delivered at Place) means the seller delivers to a named place, but the buyer covers import duties and taxes. CIF (Cost, Insurance, and Freight) means the seller covers costs and insurance to the port of destination, but the buyer is responsible from there. Choose the Incoterm that best suits your needs and budget.
Account for potential delays at UK ports (check for updates online), post-Brexit customs procedures, and inland transportation from the port. Plan for potential customs inspections and their impact on delivery times. Consider dedicated versus shared road haulage options. To mitigate port congestion, book shipments well in advance and consider alternative ports if feasible. Understanding these factors is crucial for successful shipping.
Consider sustainable shipping practices. Use eco-friendly packaging materials (e.g., recycled cardboard) and inquire about carriers with carbon offsetting programs to reduce your environmental impact. Shipping International can provide information on sustainable options.
Shipping costs depend on weight, volume, distance, shipment type, and insurance. Shipping International provides cost estimates.
